Administrative Assistant position

The Role:  The Administrative Assistant at CWRC will be responsible for the day-to-day administrative activities within the organization to ensure efficient and effective administrative management of its operations.

CommunityWise has been a nonprofit hub in Calgary for over 40 years, dedicated to supporting and strengthening diverse grassroots organizations and nonprofit groups from our central location in the historic Old YWCA Building. We provide affordable office and community space, shared resources, and collaborative capacity-building programming to 90 member organizations. Our work emphasizes anti-racism and equity, and we seek passionate, high-performing, and solution-oriented individual to lead our team

Primary Duties and Responsibilities: 

Duties (in line with CommunityWise policies and procedures): 

  • In charge of handling the overall flow of administrative duties of CWRC operations
  • Set up and maintain manual and computerized organizational filing systems
  • Provide administrative support to CWRC Board and staff in their respective roles and responsibilities, including planning/preparation for meetings, taking minutes, assisting with preparation of reports, and/or other related clerical tasks
  • Greet visitors and members, ascertain nature of business and direct to appropriate member or person
  • Distribute incoming and outgoing mail for the centre
  • Maintain contact lists, i.e. for members, building contractors, donors, and business processes 
  • Help organize organizational meetings and functions
  • Manage phone calls and correspondence (emails, letters, packages)
  • Post advertisements on the website and other social media platforms
  • Assisting in writing and editing the newsletter
  • Improving and updating existing policies and procedures documents
  • Assist with volunteer program management including a volunteer database.
  • Provide direct Member services and improve provision of these services as below. Services include: 

o Supporting the use of offices, meeting spaces, and tenant related requirements

o Review and approve communal bookings. 

o Providing front desk reception. 

o Assist with membership applications and renewals.  

o Work with the staff to address member-related issues.

o Assist with member-based administration (compile reports, update key  documents, member data management).  

o Policy maintenance and upkeep related to membership and building use. 

Qualifications:

  • 1-2 years previous administrative experience
  • Administrative technical skills, i.e. use of software such as microsoft office suite, excel, powerpoint etc.
  • Strong social media skills, including content creation, posting and management of platforms
  • Interpersonal and communication skills, both verbal and written
  • Ability to multitask

Hours of Work:

  • 16 hours per week.  Monday – Friday, typically 4 hours/day that are variable depending on needs of organization 

Compensation:

  • $23-25 per hour range

Physical demands:

  • Sitting
  • Making repetitive motions such as bending, reaching, or carrying materials 
  • Engaging in tasks that may require moderate physical exertion

    personal networks and identifying new opportunities.
  • Experience in Non-Profit Sectors: Knowledge in governance, anti-racism practices,
    financial management, or community engagement.
  • Diversity & Inclusion Focus: Commitment to equity, diversity, and creating inclusive
    spaces.
