CommunityWise Members Memo

December 2015

  1. CommunityWise admin office holiday closure

The CommunityWise admin office will be closed on December 24th and will re-open January 4th.  The building and offices will be accessible to members with keys throughout the holidays for your bookings, meetings, and events as usual.

  1. CommunityWise Winter Party – December 17, 6-9pm

You’re all invited to the annual CommunityWise Winter Party! Please join us on December 17th from 6pm to 9pm for a warm and welcoming winter celebration with a potluck dinner and dessert and entertainment provided by our talented members and community. Contact erin@communitywise.net to sign up for the potluck and the talent show!

  1. Coat drive

The Aboriginal Friendship Centre of Calgary, in collaboration with CommunityWise, is hosting a winter coat drive. Anyone wishing to donate winter coats can place them in the marked bin by the mailboxes on the main floor. All coats will be shared with vulnerable people in Calgary needing coats for the winter season.

  1. Certificate/proof of office insurance

As part of CommunityWise’s master lease with the City of Calgary all tenant members are required to hold office contents insurance. CommunityWise needs to have an up-to-date certificate or proof of insurance. Terms are outlined in section 9.16 of your rental agreement. For any members in need of office contents or other insurance quotes, we have organized two visits from Co-operators insurance: the morning of Tuesday, December 8th and the evening of Wednesday, December 16th. Please contact philip@communitywise.net for more details.

  1. NEW membership policies

CommunityWise requires members to sign on to any new or updated policies. The Membership Agreement and Anti-Harassment Policy are a part of our continued collective commitment to equity and safer space. Action requested: Please print and sign a copy of each and return to the CommunityWise admin office. We’ve placed copies of these documents in the mailboxes of those members who have one.

The updated anti-harassment policy is binding on all member organizations as a condition of being, or becoming, a member organization.  The policy is intended to prevent and address harassment of any type on CommunityWise premises, including sexual harassment, and to deal quickly and effectively with any incident of alleged harassment which might occur. The policy applies to all member organizations, members of member organizations, and CommunityWise staff.  Members, please share and review each of these documents with your staff, board, volunteers, etc.

Here is the link to the forms on the website: http://communitywise.net/policies/

These policy documents were created from ongoing conversations at the board, committee, and member meetings. Get in touch with son@communitywise.net if you want to be involved in future policy development.

  1. Basement access interruption

As part of the historic restoration of the Old YWCA building the City of Calgary heritage department and CommunityWise are about to begin a much needed renovation project in the basement. Exact dates are still pending but the project will commence sometime in December. The back door entrance and much of the south half of the basement will be inaccessible during renovations. CommunityWise is working to accommodate existing dance studio bookings as well as member’s office and meeting needs in the affected areas. This will also mean that we will be limited in our ability to accept bookings on the dance studio. Members needing to reach their storage areas in the basement will still be able to, but will first have to set up a time with CommunityWise staff.

  1. New internet at CommunityWise

In the new year, high speed fiber internet will be installed at CommunityWise to replace the patchwork of limited access internet service currently available through cable service providers. Eventually all tenant members will be a part of the fiber internet service. That said, we understand that many of our members have existing service contracts for internet. Please let us know when your contract is done so that we can switch you to the fiber internet service. While CommunityWise is covering a substantial portion, your share of the cost is based on an equitable system and takes into account your organization’s usage and number of staff. Exact shares and costs will be emailed to members directly in the financial statement memo.
